So this is my first post to a new blog and I thought I would make it a straight forward and simple one.

In versions prior to CRM 2011/2013/2015 we have always been limited to creating email activities with the TO field set to one of the following:

  • Account
  • Contact
  • User
  • Facility/Equipment
  • Lead
  • Queue

Now we are offered the option to enable Sending email on an entity.

EntityOption

If the entity does not have an email field that exists on the entity, a new field will be created automatically for you once the entity is saved.

Email Field

I would advise first creating your email field before selecting Sending email because as you can see CRM does not honour your publisher prefix on the newly created field. Be warned, that once you have selected this option and saved your entity there is no way to undo this action.

So once saved,  you will now have the option to select your entity type in the Lookup Record view for the To fields on an Email.

School Email

You will also have access to the entity when created an email from workflow

WF

As simple as that!

    1. Short answer is no they will no sync to outlook. If you want to sync with outlook it is advised to use the contact entity and segregate the contact types with an option set. The OOB field is customertypecode if I am not mistaken.

  1. I have a custom entity, in CRM 2013, with that flag turned on. I do not see emailaddress1. Instead, I see a custom field (with publisher\’s prefix), called \’Primary Email\’.

Based on your statement \”I would advise first creating your email field before selecting Sending email because as you can see CRM does not honour your publisher prefix on the newly created field\” , it seems my custom field is problematic.

    Please clarify.

    Cheers!

    1. Hi Mark, it simply means that CRM will use the new_ prefix instead of your publisher prefix should it be different. Cheers
